It’s annoying and really unprofessional to keep asking “Am I Audible?”, “Is my screen visible?” Or “Sorry about the disturbing background”. A few things to test before the online presentation begins: A. Your microphone and speaker. I personally prefer AirPods or headset to avoid echo and reverb while presenting. B. Your camera: Make sure you have your back against the wall so there is no distraction for the audience. Else blur your background. C. Your screen-sharing option: It’s embarrassing to see unwanted notifications popping up while you are presenting. I personally use “Window Share” rather than sharing the whole screen.

Let the small group collaborate and create and then (in most cases) bring everyone back together to make sure ideas from the breakouts are not exclusive to just that group. You can then either keep the same groups (to save time on introductions in future breakouts) or mix it up (so everyone has a chance to work and hear from others).

Then use a poll right before an important part of the presentation to reign in those who may be tab surfing. Stay away from repetitive questions or overly engaging the audience.

Follow up is the key to get work done as per expectation. In this information age we very easily forgot the task assigned and discussed. Follow up constructively always help to collaborate more meaningfully and away from distraction. The important and urgent task needs follow-up to away from procrastination. If task is defined and follow up actions tracked in systematic manner, it helps on OTD.

As a service designer and workshop facilitator, I use virtual boards (Miro or Figjam). At the end of a session, I explain what we'll do next and leave the board open for them to add more sticky notes or comments later. People worked differently. Some are good at thinking in the moment, while others need time to digest the prompts and read others' sticky notes before adding their thoughts. I send an email including a Google Doc with: ? Recap of what we did ? Link to the board ? PDF or screenshot of the board ? Spreadsheet with the sticky notes in plain text (easy to export board as .csv) ? List of action items with name and deadline ? Explanation of what will we do next It's helpful for them but also for me to remember the next steps.

I think its Important to make an individual or two a part or your presentation to volunteer so lets say while presenting you can ask someone to take a note of key points, members chosen would be happy to help, one can also ask to volunteer in mock dialog to give real time example so and so forth. Engaging helps via asking questions but collaborating can be done by making some Team members a part of your presentation.

The moot question is to understand the purpose of the meeting. A simple question to be answered before the meeting would be, why are we even meeting - Defining on what is the intended outcome. Unless this is clear to all participants, rest will fall apart. Now the 2nd question is how to democratically allow participation that everyone is heard and has an opportunity to contribute. There may be 2 extremes , 1. A bully (may be an extremely effective contributor) hijacks the meeting (while taking the meeting in it's intended direction) but silences the larger audience 2. Where an over enthusiastic general participation does not take the meeting anywhere (all contributing something relevant, but no consensus). Thus, a moderator is a must.
