Here's how you can communicate a layoff to your team and preserve their morale.

In my experience, both good preparation and prompt communication are important. Likewise, not too many people should be involved. There is nothing more unfortunate than communicating something that everyone already knew in advance. It is also important when giving reasons that you do not damage the reputation of the departing employee and that there is still a certain degree of transparency.

When communicating layoffs, prepare thoroughly by understanding the rationale, anticipating questions, and knowing available support. This allows conveying difficult news sensitively yet confidently. Deliver news directly yet with empathy. Avoid vagueness or false hope. Acknowledge the difficulty transparently and express regret. Treat all impacted with respect. For remaining staff, outline their roles and the vision. Reassure commitment to them to help preserve morale. Thank departing employees for contributions to help them feel valued despite layoffs. With empathy, transparency, and a forward-focus, navigate this challenge while striving to preserve trust and dignity.

Don't try to put a positive spin on things, use a bunch of corporate speak, or use any version of the word "but" (as in, "we know these layoffs are hard BUT...") to try and soften the blow. The way in which employees are dismissed says a lot about the corporate culture. After all, you once decided in favour of an employee. The better the farewell culture, the better the reputation of a company. The way in which you offer support is also a good indication of how much you actually care about your employees. The damage caused by an unpleasant separation is often much higher than the cost of support.

In my experience, it helps if you involve the team and allow them to participate. The colleagues who stay often come up with very good ideas that you don't have yourself.

Pre and post layoff communication is key to smooth layoff exercise. Speak with no ambiguity, allow for questions and if needed entertain request for 1:1 dialog.
