Unexpected delays can be overcome by: - Identifying the urgent and near due cases and prioritizing - Analysing the complexity and time consumption and allocating the required resources as per complexity, if still there are chances of delays prior intimation to be done to the higher authorities

-Establish a plan for consistent case/patient identification that identifies key transactional milestones. - assessment (dx., care milestones, resources available vs. needed and timetables). - established care team communication "check-in's" (person to person or automated) with a defined cadence (inputs and outputs) -"Table Clearing". This refers to the practice of management of performing low-touch/low time requirement actions during designated time frames. Completion of low time/touch task will increase productivity as well ready/ramp up more complex case work. -Outlier aggregate management. Establish dedicated resources to target complex cases which may progress slower but require consistent situational awareness and intervention.

One way I have managed to ensure I stay on top of deadlines and stay organised is through using the Eisenhower Matrix, meaning I can move tasks around dependant on urgency / importance.

With regard to case management software, it is only useful if you actually use it and check for upcoming deadlines consistently.

Organization can streamline and standardize procedures by developing and documenting standard operating procedures (SOPs), utilize case management software to automate routine tasks and centralize document storage, and automate workflows for repetitive tasks like reminders and data entry. Improving communication through collaboration tools, prioritizing cases based on urgency and importance. Implementing checklists and templates ensures thoroughness, while data analytics helps identify bottlenecks for continuous improvement. Encouraging feedback from team members and clients, regularly reviewing processes for inefficiencies, and fostering a culture of collaboration among staff can lead to more effective case handling.

My go-to is utilizing features of our EMR system, Epic. Specifically, creating smart phrases that can quickly be used to add lists of resources to patient’s charts. It saves me time, every time. We also use templates for our social work and case management assessments in order to ensure we collect information in a standardized format.

Provide clear, concise instructions ensures understanding, while thorough documentation of communications serves as a reference to prevent miscommunication. Furthermore, clarifying-roles and responsibilities minimizes confusion, maintaining professionalism fosters a respectful environment, and following up with summary emails reinforces key points and expectations.

Often delays in work occurs due to communication lapse or improper communications. It creates a major gap between the continuation and incompletion of works. So Try to clear it. While communicating a new info with a person pls make him or her understandable in their level.

I agree with all of the above points; -However, do not be afraid to use the red ‘busy’ status indicators on MS Teams/Zoom etc.. when you need to focus on a task. Sometimes minor distractions can become larger & more time-consuming. -In one work-place they used a flag system; Green meant if you need me, come over & say hi, ask a Q, talk… The red flag the opposite; I am busy please don’t disturb me right now. It was an unusual but effective way of decreasing distractions. -Be mindful of how/when you are most effective. If your work-stream allows flexibility, try to plan your day. I know that I would rather front-load my morning, tackling difficult/time-consuming tasks before lunch, which generally allows me to handle easier admin, later on.

Using systems like Teams and Secure Chat can help quickly update team members and providers regularly. We also huddle during the day to try and expedite needs from the ER and Observation.

Flexibility is crucial when facing unexpected challenges. Quickly assess the situation, adjust resources or timelines, and request extensions if needed. Communicate changes clearly to all stakeholders and implement contingency plans. Stay focused on problem-solving and reflect on what worked to improve future strategies. For example, when setting up a new project, frequent renovation delays were managed smoothly because I prepared the staff for potential changes and kept everyone informed. This proactive approach ensured a seamless move despite the shifting timelines.

Think about it: if life were to be predictable, it wouldn't be as interesting. Situations will (and should) catch us by surprise. Therefore, when managing a case, be prepared for the unplanned. As odd as it may sound, you can do this by learning how to managing your reactions to unforeseen circumstances. Build an aptitude for creativity, flexibility and positivity. Your customers/patients/clients will appreciate your ability to shift and serve their ever changing needs.

Locus Drive. What is that? It's an initiative that I suggested when the caseload in my area was getting out of hand while I was a social worker. Through this initiative, I called on my colleagues in different areas to come for one (1) day to address as many cases we could. So many of my colleagues came in support, and guess what? It worked! And while it was a one time solution, it surely allowed my team to reset and focus on a less demanding caseload.

There’s no one person who can be the expert at everything and be everywhere all the time. Have grace with yourself and ask for help! Establish boundaries and expectations, and communicate with team members and management when you need help.

If you are on a team, debriefing at the end of the day or at minimum, the end of the week allows you and your team to see what gaps have been closed and what tasks are outstanding. It also provides a team building experience and pulls us back to reality in the midst of chaos.

As cliché as it may sound, there is "always room for improvement." While those monthly/annual performance reviews may be dreadful for some, it can become mundane - filling the same form over and over, providing little to no feedback. And yet, at the same time we are naturally our own worst critic. Use it to your advantage! After each interaction ask yourself, "Where did I go wrong? What did I do well? How I can improve?" The next client/customer/patient will thank you for it!
