This can be included sometimes even in team working agreements. Once the source has been found, we can then go one step further to find out if anyone else in the team is feeling and thinking the same reaction. When we have determined the source, and narrowed down to whether it’s a one person or group reaction, then we work to solve it.

Follow the Ladder: - Observation: Cite specific instances of interruptions. - Interpreting Data: Explain the impact on meeting flow. - Assumptions: Acknowledge possible reasons for interruptions. - Conclusions: Note potential frustration and productivity impact. - Beliefs: Emphasize the value of structured input. - Actions: Suggest solutions. 4. Engage: Listen actively and collaborate on solutions. 5. Follow-Up: Provide ongoing feedback.

To keep it brief, you need to have "the meeting before the meeting" with this person to understand the problem and to set the tone for a positive change.

At the beginning of most of the meeting engagements that I lead I will utilize the OARR framework. One of the R’s in the framework is Rules. By setting up rules at the onset you eliminate issues such as this and can set the stage to foster inclusion (ex: create a rule that everyone shares and contributes). Without rules it really is the ‘Wild West’.

Having a clear and structured agenda with designated speaking times can help keep the meeting on track and reduce opportunities for disruptions.

If you’re leading a meeting with virtual technology you may have a feature allowing you to mute disruptive participants or team members. Another way to effectively utilize technology is to have a ‘producer’ manage the technology and the participants to eliminate or minimize disruption. Again setting rules at the onset along with expectations is beneficial.

When teaching children we find that they will often attempt to get our attention through their actions. If we play closer attention to them when they are conducting themselves well, and give them less attention when they are making ‘red light’ choices they will learn to naturally choose appropriate behaviour. The same principles work for team members.
