Handling clients with high or unrealistic demands is a delicate balancing act. The goal is to protect your team’s capacity while maintaining a positive relationship. Reviewing the original agreement to ensure the demand isn't a misunderstanding should be a good kick off. Sometimes, clients expect services they assumed were included. Even if the request exceeds the agreed scope, assess if it aligns with the company’s goals or adds value to the relationship, being honest and transparent in your communication, whatever is your final decision about that. Don't forget about offering options to the client.

? Make sure you listen to your customer. It will only get more complicated if you allow him to feel as though they are not being heard. During the initial encounter, listen & don't make any offers yet. It will provide you with a clear understanding of the customer's needs & what you can provide. ? You can provide a suitable option once you have thoroughly examined the needs of the customer. Customers can be tricky ; they may refuse to consider & cling to their demands. Remain steadfast & explain to them why your alternative will address the issue more effectively. ? It's time to step back respectfully if the customer is still being unreasonable after you have considered every alternative. Simply inform them it isn't going to work.

Clients can be demanding, but addressing concerns with a problem-solving mindset will help maintain a professional rapport. Negotiate with Flexibility If the relationship is valuable, be open to negotiating without overcommitting. You can say, "We can take on this extra work, but it will require a modification to the schedule or budget. Let’s discuss how we can accommodate this." Communicate the Impact Be transparent about the implications of overextending. For instance, explain how additional requests might affect timelines or quality:

If the requested bandwidth is beyond your current capability, but it is on your roadmap, sharing the realistic expectation of when it will be available will help build trust. With bandwidth needs and capabilities growing at the rate they are it is not uncommon to have to bundle lower bandwidths day 1 (2x100G) and upgrade later to (1x400G) for example. For some applications, this proves to be a more reliable resilient solution.
